This chapter describes the actions in the Subscriptions menu of the Role Center.

Role Center Subscription

In this chapter actions in the menu Subscription of the Role Center will be described.

Subscription Configurations

Subscription configurations can be created on this page, which can be used to initialize and set up subscriptions.

A list of subscription configurations is called up from Subscription Manager Role Center:

Subscriptions are configured on the configuration card:

The following fields are available. Most of the fields in the Subscriptions tab of the subscription configuration are only default fields for the corresponding fields in the subscription and can still be changed manually there:

Field Description
Code Specifies a unique code that identifies the configuration.
Description Enter a detailed Description of the Subscriptions configuration.
Auto-Show There is a larger logic behind this field. Subscription configurations can be displayed automatically when a subscription is created, or they can only be displayed if this functionality is explicitly called from the subscription. The Auto-Show field implements this difference. All subscription configurations whose Auto-Show field is activated are automatically displayed when a subscription is created, all others are only displayed if the loading of subscription configurations is explicitly called up from the subscription. If none of the subscription configuration templates are defined as Auto-Show, subscription configuration templates are not automatically displayed at all when a subscription is created, but only if the functionality is explicitly called up from the subscription.
Blocked Indicates whether the subscription configuration is blocked or not. Blocked subscription configurations are not displayed for selection in the subscription and cannot be used.
No. Series Specifies a No. Series with which the Subscriptions is created. If no value is stored here, the default number series for subscriptions that is stored in the Subscriptions Setup is used.
Subscription Period Code Specifies a default value for the Subscription Period Code field in the subscription.
Billing Frequency Code Specifies a default value for the Billing Frequency Code field in the subscription.
Auto-Renew Specifies a default value for the Auto-Renew field in the Subscriptions.
Automatic price extension Specifies a default value for the Automatic price extension in Subscriptions field.
Renewal Billing Frequency Specifies a billing rhythm which is to take effect when the subscription renews. If you leave this field blank, the current billing rhythm will be continued.
Renewal Subscription Period Code Specifies a validity period of the subscription which is to take effect when it renews. If you leave this field blank, the current validity period will be continued.
Subscription Type Group Specifies a default value for the Subscription Type Group field in the subscription.
Subscription Design Code Specifies a default value for the Subscription Design Code field in the subscription.
Auto-Text Code Specifies a default value for the Auto-Text field in the Subscriptions.
Invoice Date Calculation Specifies a link to settings on how to calculate the posting date, document date, and shipment date of the invoice.
Subscription Template Code Specifies a subscription template that is applied to the lines of the new subscription. Subscription templates can be used to define subscription lines to be created automatically. By adding a subscription template code to the subscription configuration, you can define an almost complete subscription with header and line data that is created automatically. Customers, the Starting Date and the subscribed Quantities are then all that is missing.

The Copy configuration action on the Subscriptions configuration card can be used to copy the setup of an existing subscription configuration to the current one.

Subscription Templates

On this page you can create templates for subscription lines that can be loaded into Subscriptions.

The following fields are available in the subscription template header:

Field Description
Code Defines the Code for the subscription template.
Description Defines a Description for the subscription template.
Blocked Indicates that the subscription template is locked so that it cannot be loaded into Subscriptions.

The following fields are available in the subscription template Line:

Field Description
Type Indicates whether the line is a Subscription Item, a Bundle Item, a Group Heading, a Group Total, a Subtotal, a Bundle Total or a Comment.
No. Specifies the number of the Subscription Item or Bundle Item.
Description Specifies a Description that is transferred to Subscriptions.
Font Type Specifies whether the Line. should be displayed in a bold or normal Font Type.
Bundle No. Indicates which bundle the Line. belongs to.
Auto-Explode Bundle BOM Specifies that a bundle BOM that is not unfolded in the template should be unfolded automatically when loaded into the subscription.

Subscription Type Groups

On this page you can define Subscription Type Groups and assign them to Subscriptions.

Field Description
Code Defines the Code for the Subscription Type Group.
Description Defines a Description for the Subscription Type Group.
Invociing Approval Type Sets the invoicing approval type on a subscription connected to the subscription type group. If this field is blank, the subscription's approval type doesn't get changed.
No. of Subscriptions Displays the No. of Subscriptions to which this Subscription Type Group is assigned.

Subscription item group

Subscription item group On this page, you can define subscription item groups. These are then used in the evaluations for subscriptions. Assignment is done via the item card

Customer Subscription Groups

On this page you can define Customer Subscription Groups and assign them to Customers.

Changed Subscriptions

This page can only be used to view Subscriptions that have been changed within a certain period. If you select Changed Subscriptions from the Role Center, the following dialog is displayed:

You can now select whether you only want to display Subscriptions that have been changed since the last invoice was issued, since yesterday, in the current week, since the last week, in the current month or in the last month.

On this page you can link Subscription Items with Purchase Items.

Usage Overview

In the usage overview, you can display subscriptions according to specific search criteria.

If you want to see the existing subscriptions of a Customer, select the "Search by" option in the "Search by" field and enter the number of the desired Customer in the "Search by" field. With this selection, the subscriptions and the subscription requests of the stored Customer are displayed. You can call up the listed subscriptions and subscription requests from this usage overview.

If you want to find out in which Subscriptions a particular Item is available, select the "Subscription by Item" option and enter the Item number in the "Search by" field. If you select this option, you will receive a list of all subscriptions and subscription requests that contain this item.

It is also possible to create subscription requests from the usage overview.

You can use additional Filters with the Expanded search. The last 10 search queries are saved automatically. If you want to save more search queries, you must enter the value accordingly in the Subscriptions Setup. The saved search queries can be loaded for the next search.

Free Billing Periods

On this page, you can assign subscription periods that are to be billed to the customer at a reduced rate or completely free of charge. A description can be displayed using standard texts. This setting always applies to all lines of the subscription. This function is limited to monthly billing.

Field Description
Subscription No. Shows the number of the subscription that the free billing period is defined for.
Subscription Description Specifies the name of the customer that you're selling the subscription to.
Customer Name Specifies the name of the customer to whom you are selling the subscription.
Billing Period Month Specifies the recurring month that you define free or reduced billing for.
Billing Period Year Specifies the non-recurring year that you define free or reduced billing for.
Discount % Specifies the discount percentage that the amount of each subscription line gets reduced by.
Period Description Specifies a description of the free or reduced period, e.g. Summer Holidays. The description can be shown on the subscription invoice by means of standard texts.

The following actions are available on the page:

Action Description
Subscription Displays the subscription for which a billing-free or reduced period has been defined.
Current free periods Displays all subscriptions whose current billing periods are free or reduced.

Subscription Requests

You can use the subscription request to track an upcoming change to an existing subscription or to document details and information about a new Subscriptions.

Subscriptions can be created, order portals accessed and purchase invoices or purchase orders generated from the subscription request.

Note: The purchase invoices or purchase orders are generated when the new subscription is created or when an existing subscription is updated.

Type Specifies the Type of subscription line. Further information can be found here.
No. Specifies the number of a Bundle Item, Subscription Item or Item, depending on the content in the "Type" field.
Description Specifies the Description of the subscription line.
Requested Qty. Specifies the Quantity requested by the customer.
Requested Starting Date Specifies the subscription start date requested by the customer.
Req. Vendor Type Here you can specify which Vendor Type it is. The following options are available:

Vendor Status You can set the Status here.

Create Subscriptions Use this function to create a subscription based on the details in the subscription request. Only Confirmed requests can be processed.
Update Subscription Use this function if the information in the subscription request relates to an existing subscription. Only Confirmed requests can be Processed. You can both enter a new Subscription Item for the subscription and/or change the Quantity of an existing Subscription Item.

This chapter describes the fields and functions of the Subscriptions card.

Subscription - Header

This chapter describes the fields that can be found on the individual tabs of the subscription card.

General

Field Description
No. Specifies the Subscriptions number.
Description Provides information about the subscription. If you post Invoices for this Subscription, the Description is transferred to the Subscription Ledger Entry.
Sell-to Customer Name Specifies the name of the Customers for whom the Subscriptions was created.
E-Mail Specifies the E-Mail address of the Contact to whom the sales receipts are to be sent.
Customer Type Specifies the Code of the Customer Type (e.g. Reseller).
Parent Subscription No. Specifies a parent subscription that this subscription is a successor or child of. If a parent subscription number is defined, it is used in documents instead of the actual subscription number.
Subscription Request No. Specifies the number of the subscription request that the subscription was created from.
Salesperson Code Specifies the responsible seller.
Team Code Specifies the responsible Teams. If a Sell-to is specified, only Teams to which the Sell-to belongs can be selected. If the Sell-to only belongs to one Team, this is set automatically. If None is specified, you can select from all Teams.
Customer Subscription Group Specifies the Customer Subscription Group assigned to the Customer.
Subscription Type Group Specifies the Subscription Type Group. This can be used, for example, to differentiate whether or not the subscription should be taken into account in invoice batch plans, or in which Sequence this takes place.
Department Code The field represents the 1st global dimension and can have different content and Heading depending on the Setup of the global dimensions in the client. The field is only displayed if the Show Global Dimensions field is activated in the Subscriptions Setup.
Customer Group Code The field represents the 2nd global dimension and can have different content and Heading depending on the Setup of the global dimensions in the client. The field is only displayed if the Show Global Dimensions field is activated in the Subscriptions Setup.
Subscription Starting Date Specifies the Subscription Starting Date. If you enter the Subscription Starting Date, the Subscription Expiration Date, the Start and Ending Date of the billing period and the Regular Next Invoice Date and Next Invoice Date fields are filled automatically depending on the Subscription Period and Subscription Interval entered. If the Suggest Changes on Starting Date Update field is checked in the Subscriptions Setup, a dialog opens automatically under certain conditions that allows you to change the Recording Date from subscription components in the batch. The following requirements must be met for this: There are components for Subscription Items of this subscription. No Invoice has yet been created or posted for the Subscriptions. Subscription Starting Date has been changed from a valid date to another valid date. The AssistEdit functionality of this field can be used to call up the same dialog as the Edit Period Dates action.
Status Indicates the status of the Subscriptions. The following statuses are available:
Created
Quotes
Test version
Active
Grace period
Suspended
Finished
External Document No. Specifies an external document number.
On watchlist Defines whether the Subscriptions should be on the Watchlist.
Watchlist Reason Code Indicates why the Subscriptions is on the Watchlist. The field is only visible if the On Watchlist field is activated.
Approved for Invocing Specifies whether the current billing period is approved for invoicing.
Starting Date Specifies the Starting Date of the billing period.
Ending Date Specifies the Ending Date of the billing period.
Next Invoice Date Specifies the regular Next Invoice Date.
Interim invoice date Specifies the date of the next Interim Billing. In the case of an Interim Billing, the date of the Interim Billing is stored here. If no Interim Billing is currently being issued, this field remains empty.
Start of Deferral Period Specifies the starting date of the deferral period for interim billing. The date is automatically filled with the earliest recording date of a component entry that falls into the interim billing period. If left blank, the interim billing date becomes the start of the deferral period. The actual start of the deferral period may, however, still be subject to period settings defined in the deferral template.

Totals

Field Description
Total Amount (LCY) Indicates the Total Subscription Amt. based on the current billing period.
Total Discount Amt. Indicates the Total Discount Amt. granted for the Subscriptions.
Total Direct Unit Cost Indicates the Total Direct Unit Cost for the Subscriptions. You can find out how the Unit Cost is determined here.
Total Indirect Unit Cost Indicates the total indirect Unit Cost for the Subscriptions. You can find out how the Unit Cost is determined here.
PROFIT (LCY) Indicates the profit for the Subscriptions.
PROFIT % Indicates the profit in % for the Subscriptions.
Profit Calculated for Date Indicates the Date on which the contribution margin was calculated.
Date profit calculation Indicates when the calculation of the profit was carried out.

Subscriptions

The following fields are available:

Field Description
Subscription Period Code Specifies the valid term for the subscription.
Billing Frequency Code Specifies the Billing Frequency Code Filter valid for the subscription.
Deferral Code If you want to accrue sales revenue, enter the desired code here. It is strongly recommended that you select an accrual code that is set up for the flexible determination of Periods or create such an accrual template. This is done by checking the Subscription Deferral box on the General tab of the Deferral Template card.
Purch. Deferral Code If you want to Accruals the Purchase Cost, enter the desired Code here.
Subscription Design Code If a default value for a subscription design is stored in the subscription setup, this value is used if no code is specified in the subscription. Otherwise, a different Code for a subscription design can be stored here.
Auto-Text Code Select a specific Auto-Text for this Subscriptions. The valid Auto-Text of a Subscriptions is defined hierarchically. The first priority is an Auto-Text specified on the subscription card itself. The second priority is an Auto-Text specified in a subscription design assigned to the subscription, and the third priority is an Auto-Text assigned to the subscription setup. If no valid Auto-Text is assigned to the subscription itself, it is selected from the hierarchy but not explicitly loaded into the subscription. The Auto-Text used in the Subscriptions is displayed below the field.
Historic Starting Date Specifies the date from which the subscription was billed for the first time and which is before the first billing of the subscription via bill-to, if the subscription already existed before the introduction of bill-to. On the one hand, this provides the historical classification and, on the other hand, allows you to enter a Balance before the Subscription Starting Date, for example on 31/12/2023, via the Historical Journals, in order to statistically summarize all Quantities, Costs and Revenues that belong to the subscription.
Subscription start date Specifies the Subscription Starting Date.
Subscription Ending Date Specifies the Subscription Ending Date.
Automatic activation after test version Determines whether a subscription should be created automatically after the trial version ends.
Trial Starting Date Specifies the Trial Starting Date.
Trial Ending Date Indicates the Trial Ending Date of the trial version.
Auto-Renew Determines whether the subscription should be automatically renewed after the term has expired.
Auto-Price Renewal Determines whether the existing Subscription Prices should also be automatically renewed when the Subscription is automatically renewed at the end of the Subscription Period. This is a content-based decision that depends on whether the customer should pay standard prices after the original subscription term expires, or whether their specific subscription prices should be extended. The following options are available:
Never: Existing prices are not automatically renewed.
Renewal End Date: Existing prices are automatically renewed by setting their Ending Date to the end of the New Term.
Create New Price Line: Existing prices are automatically renewed by creating a new price line with the Start Date and Ending Date of the new term.
Renewal Subscription Period Code Specifies which term should apply when the subscription is renewed.
Renewal Billing Frequency Code Specifies which Billing Frequency Code Filter should apply in the event of an extension.
Auto-Grace Period Determines whether a grace period applies after the Subscription Period has expired.
Grace Period Code Indicates the grace period.
Grace Period Starting Date Indicates the Grace Period Starting Date.
Grace Period Ending Date Indicates the Grace Period Ending Date.
Code Cancellation period Specifies the code for the notice period.
Latest Termination Date Indicates the Latest Termination Date.
Requested Termination Date Specifies the requested Termination Date.
Accepted Termination Date Specifies a date for which the termination of the subscription has been accepted.

Invoicing

By default, not all fields are displayed, which are shown below. If you do not see all fields, click on the Show more action on the right-hand side of the header line of the Invoicing tab.

Field Description
Currency Code Specifies the currency of the Amounts in the sales document.
Billing Document to Create Defines which Type of Document is generated from a Subscriptions for the purpose of creating Recurring Invoices. Three options are available:
Invoice: A sales invoice is created for billing purposes.
Order: A Sales Orders is created for Billing.
G/L items: Documents are not created at all. Instead, it is posted directly to non-cash items. This option is particularly relevant in connection with recurring rental invoices, where the customer receives a one-off direct debit notification at the beginning of the Subscription Period, but no Invoice for each subscription interval thereafter.
Send Approval Request Specifies whether an approval request is to be sent on creating the billing document.
Prepayment Terms Code Specifies the code that represents the prepayment terms for prepayment invoices related to sales documents created from the subscription. A prepayment terms code can only be assigned if the billing document to be created from this subscription is an order, not an invoice.
Payment Terms Code The terms of payment code is taken from Bill-to, but can be changed in the subscription. If a different Payment Terms Code is stored in the Subscriptions, it is validated when Documents are created. If a Credit Memos is generated from the Subscriptions, the payment term code is only filled in accordance with the General Business Central logic if the field Discount on Credit Memos calculated is checked in the payment term.
Payment Method Code The Payment Method Code is taken from Bill-to, but can be changed in the subscription. If a different Payment Method Code is stored in the Subscriptions, it is validated when Documents are created.
Customer Price Group Specifies the Customer Price Group.
Customer Disc. Group Specifies the Customer Disc. Group.
Campaign No. Indicates the Campaign No..
Invoice to Specifies the Customer to whom you are sending the Sales Invoices.
Next Invoice Date Specifies the next invoice date which normally lies within the billing period or slightly before or slightly after the billing period, as defined by the billing period calculation set up within the billing frequency.
Currecnt Invoice Date Specifies the posting date for which the current open subscription invoice has been created. The field is only filled if there is an open invoice which has not been posted yet.
Currect Sales Invoice No. Specifies the number of the current open subscription invoices. The field is only filled if there is an open invoice which has not been posted yet.
Zero Amount Bill Specifies that the current invoice for this subscription, whether it has been created or not, is a zero amount bill.

End Customer

The End customer tab allows entries to be made for the end customer, the Reseller, the partner account and the Product Versions.

The following fields are available:

Field Description
End Customer Source Type Indicates whether the Source Type is a Contact or a Customer.
End Customer Name Specifies the End Customer Name.
End Customer Name 2 Provides further information on the End Customer Name.
End Customer No. Specifies the number of the end customer.
Tenant No. Specifies the Tenant No..
Tenant Id Specifies the Tenant Id. The Tenant Id can be removed again using the AssistEdit functionality of the field.
Reseller Name In many cases, the Subscriptions Customer to be invoiced is the Reseller. In this case, the end customer can be entered on the End customer tab. Sometimes, however, an end customer is billed directly and a Reseller responsible for the end customer should also be entered in the Subscriptions for information purposes. This is done using the AssistEdit functionality of the Reseller Name field. If a reseller is stored in this way , their Name is visible in this field.
Address Specifies the End Customer Address.
Address 2 Provides further information on the End Customer Address.
City Specifies the End Customer City.
Post Code Specifies the End Customer Post Code.
Country/Region Code Specifies the country of the end customer.
Partner Account Type Specifies the Type of external account to which the Subscriptions is linked, e.g. VOICE. The field is only available if the Allow Partner Accounts field is activated in the Subscriptions Setup.
Partner Account No. Specifies the number of the external account to which the subscription is linked, e.g. a VOICE ID. The content of the field can be looked up in the Partner Accounts assigned to this Partner Account Type, depending on the Partner Account Type field. However, there is no strict table link, so the value can also be entered freely here. The field is only available if the Allow Partner Accounts field is activated in the Subscriptions Setup.
Product No. Specifies the number of the product whose version is relevant for all Subscriptions Line. A Subscription Item of the subscription can be selected for this. Using the AssistEdit functionality, bill-to automatically selects the first eligible product of the Subscriptions. The field is only available if the Product Version Level field in the Subscriptions Setup is set to either "Subscription" or "Both levels".
Product Version Code Specifies the version code of the product selected in the Product No. field. The code must correspond to a version that is stored for the Item as a Product Versions. The field is only available if the Allow Partner Accounts field is activated in the Subscriptions Setup.

If the Customer to be invoiced is an end customer, but a responsible Reseller is to be stored in the Subscriptions for information purposes, this is possible via the AssistEdit function of the Reseller Name field. The AssistEdit function opens the following dialog:

The address fields can be entered freely, but they can also be transferred from existing master data via the Partner Type and Partner No. fields. The Partner Type field has the following four options:

  • \<blank>: The Reseller is not assigned to any data record, its address fields must be entered manually.

  • Contact: The reseller is linked to a Contact record.

  • Customers: The Reseller is linked to a Customers record.

  • Tenant: The Reseller is linked to a Tenant record.

If a Reseller is stored in this way, the partner name is displayed in the Reseller Name field of the Subscriptions:

Subscription Lines

This chapter describes the structure of the subscription lines. Subscription lines can only be edited if the following conditions are met:

  • A Customer is stored.
  • A Subscription Period is stored.

Type Specifies the Type of subscription line:
Bundle Item Select this option if you want to include a Bundle Item in the Subscriptions. You can find more information about this Type here.
Subscription Item Select Subscription Item if you want to add a subscription item to your subscription. You can find more information about Subscription Items here.
Item Select Item if you want to include items in the Subscriptions. You can find more information about the Type "Item" here.
General Comment Select this option if you want to enter a Comment for your customer.
Internal commentary Select this option if it is an internal note. This note is not displayed on the Documents.
Group Heading Select Group Heading if you want to display a Heading.
Group total Select Group total if you want to display the sum of all Amounts since the last Group Heading.
Subtotal Select Subtotal if you want the total of all preceding Amounts to be displayed.
Bundle total Select Bundle Total if you want the total of all Amounts since the last Bundle Item to be displayed.
No. Specifies the number of a Subscription Item, Bundle Item or Item, depending on the content in the "Type" field.
Description Specifies the Description of the subscription line.
Unit of Measure Code Specifies how a unit of the Subscriptions, Bundle Item and Item is measured (e.g. pieces or hours). By default, the value from the "Base unit" field of the item card is inserted.
Qty. to Invoice Depending on the Calculation Method, a 1 or the actual Quantity to be billed is shown here.
Operative Qty. Specifies the quantity that will be billed in full based on the current billing period. Billing is not pro rata for the Quantity.
Operative Qty. Partial Qty. Indicates the Quantity that is only calculated pro rata in the billing period because the component change did not take place at the Start of Billing Period, but at a later point in time within the billing period.
Bundle No. Indicates whether the Subscription Item or Item belongs to a bundle.
Position No. Specifies the item number of the subscription line.
Information Scope Specifies the Billing Type. With this setting, you control what is to be displayed on the Document. The following options are available:
Open price component Select this option if you only want the Subscription Item to be displayed without price and quantity details.
Open price detail Select this option if you also want the price and quantity details to be displayed for the Subscription Item.
Hidden price component This option is only applicable if the Subscription Item is part of a bundle. The price of the Subscription Item is taken into account when determining the price of the bundle, but is not displayed.
Information component Select this option if you only want the Subscription Item to be displayed without price and quantity details.
Information detail Select this option if you only want the Subscription Item to be displayed without price details but with quantity details.

Subscription Line Types that are not linked to an Item but only contain different Types of Text cannot be selected at all.

Record Components

You can use this action to enter the component items (quantity changes) for a subscription line. You can also achieve the same functionality if you use the DrillDown function on the Quantity to be invoiced, Operative Qty. or Operative Qty. Partial Qty. fields.

This action is only available if it is a Subscription Item that does not have the Calculation Method "Maintenance".

Select the Reference Base Amt.

The action "Select Reference Base Amt." only appears if you have entered a Subscription Item with the Calculation Method "Maintenance" in the Line.

This is where you define the reference amount. In the "Reference Amt. Source" field, enter the source to which the Amount should refer. Use "Select reference data record" to select the data record with the Amount to which the stored percentage in the "Reference prices" table (see also Reference prices) is to be applied.

Unless you specify otherwise, the Starting Date for the calculation of a Maintenance is the date on which the Item to be maintained was purchased; it is therefore not necessary to enter a default date for the Maintenance.

However, you can set a different Starting Date for the Maintenance calculation in the Starting Date field in the "Set reference amount" dialog. This can be useful, for example, if the customer has purchased an Item but can only use it productively after the end of implementation. In this case, supporting partners may agree a start date for the maintenance calculation that is later than the actual purchase date of the item.

Commissioned Qty.

There may be differences between a quantity approved by the customer and the quantity actually purchased. The Subscription Qty. ordered by the customer can be included in order items for each subscription line. These positions can be accessed via the Commissioned Qty. action or via the drill-down functionality of the Commissioned Qty. field on the subscription line.

This action is only available for Subscription Items and Bundle Items and only if the Activate Commission Tracking field is activated in the Subscription Setup.

Product Versions Users

This action can be used to record information about each valid Subscription Item, from when to when which Product Versions of the Subscription Item were used by which Named User or by how many Users in total.

A comparison with the recorded component quantity does not take place. The list of Product Versions Users is for information purposes only.

Product Version Code Specifies the Product Versions of the Subscription Item from the subscription line.
Starting Date Indicates when this Product Versions was used.
Ending Date Indicates until when this Product Versions was used. If this Product Versions is still in use, this field remains empty.
User Contact No. Specifies the number of a Contact who uses this Product Versions. If a contact number is stored, the User Contact field is filled from this number and cannot be edited. The E-Mail field is also filled from the User Contact No., but remains editable.
User Contact Specifies the Name of a Contact who uses this Product Versions. If a User Contact No. is stored, the User Contact field is filled from this and cannot be edited. If no User Contact No. is stored, any user name can be entered.
E-Mail Specifies the E-Mail address of the User. If a User Contact No. is stored, the E-Mail field is filled out, but remains editable.
No. of Users Specifies the number of Users using this Product Versions. The associated concept is that either Named Users are managed and this field remains empty, or that this field is filled as the number of Concurrent Users and then the Users on the Line. are not maintained. However, this logic is not enforced. It is also possible, for example, to store the name of an administrator who is responsible for a large number of users.

The Product Version Level Users action is only available if the Product Version Level field on the General tab of the Subscriptions Setup has either the value "Subscription Line" or "Both Levels".

In addition, the Subscription Item of the underlying subscription line must have one of the following Calculation Methods: Default Subscription, Software License, Purchase License, New Commerce Experience.

Load Posting Journal Lines

You can use this function to load the component entries from the Journals sheet into the Subscriptions lines. This action is only available for lines that contain a Subscription Item and a Calculation Method.

Line Card

Displays the subscription line fields in card form and allows you to adjust and customize the settings of the subscription lines in detail from the suggestions that come from the item card.

For this purpose, the line card contains fields that are not included on the subscription line, as important settings can be checked and stored more clearly in card form. In addition, the fields displayed are in some cases dependent on the Calculation Method.

Create Quote Creates a sales quote based on the information from the Subscriptions. The Workdate is used for the Posting Date and Document Date.
Create Purchase Order The Create purchase order action is used to create order proposals for all subscription lines of the subscription. These order proposals can be edited and selected in order to finally create one or more purchase documents from them.
Bacbilling Creates a subsequent sales invoice for Bacbilling for the subscription.
Compensation Creates a subsequent sales credit memo as a compensation for the subscription.
Calculate prices and totals Determines the prices and the total of the subscription based on the stored prices, the current billing period and the booked and, if applicable, newly entered component quantities.
Set periods and dates If the ‘Subscription start date’ field is filled, this function can be used to automatically fill the ‘Subscription expiry date’ and the date fields of the ‘Current billing period’. The following fields are available for the order proposal:

Selected Only lines that have a check mark in this field are taken into account for creating Purchase Documents. A default line can only be selected if it has an Item, a Quantity, a Vendor Number, a Document Type and an Assignment Type.
No. Specifies the number of the Subscription Item to be ordered.
Description Provides a more detailed explanation of the Subscription Item to be ordered.
ISV Product Id Specifies the external Item or SKU ID of the ISV or CSP for the Subscription Item to be ordered.
Quantity Indicates the Quantity to be ordered.
Unit of Measure Code Specifies the unit in which the Quantity is ordered. The Unit of Measure Code is transferred from the subscription line to the order proposal.
Requested Starting Date Specifies the Date from which the Customer wishes to subscribe to the Item.
Requested Ending Date Specifies the date by which the Customer wishes to subscribe to the Item.
Vendor no. Specifies the number of the Vendor to which the Item is to be subscribed. The Vendor No. is transferred from the subscription line to the order proposal and originally comes from the item master data.
Document Type Specifies which purchasing document type is to be generated from the respective Line. The following options are available:
<empty>: No purchasing document can be created from an order proposal with an empty value in the Document Type field.
Invoice: A Purchase invoice is generated from the order proposal.
Order: A Purchase order is generated from the order proposal.
Credit Memos: A Purchase credit Memos is generated from the order proposal. In the Purchase Document Type Dflt (Default) field of the document setup, you can select whether the document type of the order proposal should be pre-assigned with the value "Invoice" or "Order".
Assignment Type Specifies how the purchasing document is to be related back to the Subscriptions when Posting. The following options are available:
<empty>: No purchasing document can be generated from an order proposal with an empty value in the Assignment Type field.
Quantity & Value Update: When the purchase document is posted, the subscription line is assigned the costs via the Subscription Ledger Entry on the one hand; on the other hand, the Qty to Invoice for the next Sales Invoices is increased by the purchased quantity.
Value update: When the purchasing document is posted, the costs are only assigned to the subscription line via the Subscription Ledger Entry. The quantity to be invoiced is not increased.

The following actions are available in the order proposal:

Create Purchase Documents Generates one or more purchasing documents - Invoices, Orders, Purchase Requests or Credit Memos - from the order proposal lines.
Vendor order portal Calls up the Vendor's order portal to store orders there if necessary. The URL stored in the Order Portal URL field on the Subscriptions tab of the vendor card is used for this purpose.
Switch Document Type Switches the Document Type on all lines to Invoice or Order.
Toggle Selected Switches the check mark in the Selected field off in all lines or on in all lines in which this is possible.
Field: Transferred items from the same Vendors to the same Order This Boolean field is used to control whether order proposal lines that have the same vendor number and Document Type should be transferred to the same purchasing document, or whether each order proposal line should lead to a separate Document.

Change components The Change components action allows you to change all subscription components of a subscription in the same worksheet and in batches. The action is only available if the subscription has both a start date and an end date. The action can also be accessed using the keyboard shortcut Shift+Ctrl+H.
Unsubscribe Reduces the component quantity to 0 when the subscription has ended.
Automatic Component Change A shorter version of the Change Components action, only available if

Invoice Creation Forecast Shows the next invoice creation dates and billing periods for the subscription.

Load Subscriptions

Once you have selected a subscription, the subscription lines are displayed. This allows you to check once again that you have selected the correct subscription; you also have the option of loading all subscription lines or selecting only two or more subscription lines.

Change Entry

The action calls up the following dialog:

The lines represent the current component items of all subscription lines of the subscription. If a Line. is marked as New, this component item does not yet exist, but would be created if necessary.

The following line fields can be edited:

Field Description
New Recording Date Allows the entry of a New Recording Date from. The application checks whether the date is within the validity period of the subscription. If a new Recording Date is entered that is different from the Current Recording Date, the Change Entry field is automatically checked. If the New field in the Line is checked, both the New Recording Date field and the New Qty. field must contain a valid value.
New Qty. Allows the entry of a new Quantity. If a new quantity is entered that differs from the Current Qty., the Change Entry field is automatically checked. If the New field in the Line is checked, both the New Recording Date field and the New Qty. field must contain a valid value.
Change Entry Only lines in which the Change Entry field is checked are actually updated. The Change Entry field can be automatically checked by filling in the New Entry Date and New Qty. fields. However, the user can uncheck the box at any time. The Change Entry field can only be checked manually if the following criteria are met: If the New field is checked, the New Recording Date and New Qty. fields must be filled. If the New field is not checked, either the New Recording Date field must contain a valid value that is different from the value of the Recording Date from field, or the New Qty. field must contain a non-zero value that is different from the value of the Quantity field.

Instead of filling the row fields individually, you can also use the Apply changes action to fill them in a batch. To do this, one of the fields in the Batch change Options tab must be filled. The following two fields are available:

New Recording Date Allows the entry of a New Recording Date from. The application checks whether the date is within the validity period of the Subscriptions.
New Qty. Allows you to enter a new Quantity.

There are two actions in the header of the "Refresh components" page. They have the following effect:

Change Entry Toggles the contents of the Change Entry field on the lines. If all lines in the Change Entry field are ticked, the tick is removed from all lines and vice versa. When automatically setting the Change Entry checkmark, the rules for the changeability of a Line. are taken into account. It is therefore possible that not all lines are ticked by toggling Change Entry.
Apply changes Applies the values entered in the New Entry Date or New Qty. fields on the Batch Change Options tab to all or selected Line.

When the Apply changes action is selected, a dialog is first displayed that allows the user to apply the changes to all or only selected lines. The appearance of this dialog depends on whether the data record pointer is on a line that belongs to a bundle or not.

If the data record pointer is positioned on a line that belongs to a bundle, the following dialog for selecting the lines to be changed is displayed:

If the Refresh components dialog is now exited with OK, the component item of the first Line is changed from 10 to 15 and from 01.08.2023 to 05. 08.2023. A new component item is created for the first line with the Quantity 15 and the Recording Date 05.08.2023.

Automatic Component Change

In addition to the explicit action Change components, there is a similar function with fewer Options. This function is executed automatically if the following conditions are met:

  • In the Subscription Setup, the Suggest Changes on Starting Date Update field is activated on the Subscription Defaults tab.

  • No Invoice has yet been created from the Subscriptions.

  • Subscriptions have a Starting Date and an End Date.

  • The Subscriptions was previously assigned a different Starting Date.

  • The Subscription Starting Date field is changed manually on the subscription card.

If all these conditions apply, the following abbreviated component change dialog opens after the Starting Date has been changed:

This dialog only allows the user to change the Recording Date of existing components to a New Recording Date. The updated Starting Date of the Subscription is proposed as the New Recording Date.

The business case behind this function is the need to be able to change the Subscription Starting Date depending on the availability of licenses without having to call up each component entry individually. In some license cases, a subscription is initially created on a Starting Date requested by the customer. A few Days later, the actual possible Subscription Starting Date becomes known. In these cases, it should be possible to easily change all or selected components at the same time as the Subscription Starting Date.

Customer Subscription

The Customer Subscription action can be used to call up and edit all subscriptions for the current Customer in a complete overview. This is an ideal tool for displaying and editing Subscription Items from the same Customer that are split across several subscriptions due to different terms and Billing Frequency Code Filters in a single overview.

One possible procedure for editing subscriptions is therefore to manage the continuous maintenance of subscriptions after the initial creation via the so-called customer subscriptions, which virtually bring several subscriptions into one view and make them editable in this view.

The type and manner in which such a virtual customer subscription is displayed can be configured in the customer subscription Setup. This is described in detail in the Setup - Customer subscription setup chapter. An unlimited number of setups can be created for customer subscriptions.

Numerous fields and actions are available in the customer subscription itself, which allow the user to maintain and update all Subscriptions of a Customer.

Four filter fields are available in the customer subscription header:

These have the following functions:

Field Description
Customerno. Specifies the number of the Customer whose Subscriptions are displayed summarized in the Customer Subscription. Another Customer can be selected via the Lookup functionality of this field; the same applies to the AssistEdit functionality. The difference is that all Customers are displayed in the Lookup functionality, while the AssistEdit functionality filters to those Customers who actually have at least one Subscriptions. A customer subscription is always filtered to the subscriptions of a specific Customer. Subscriptions from several different Customers are never displayed in one customer subscription.
Subscription Type Group Filters all Subscriptions of a Customer to be displayed to a specific Subscription Type Group. Filters for this field can be pre-assigned in the customer subscription Setup, but can be changed or completely deleted here.
Billing Frequency Code Filter Filters all Subscriptions of a Customer to be displayed to a specific Billing Frequency Code Filter. Filters for this field can be pre-assigned in the customer subscription Setup, but can be changed or completely deleted here.
Subscription Period Filters all Subscriptions of a Customer to be displayed to a specific Subscription Period. Filters for this field can be pre-assigned in the customer subscription Setup, but can be changed or completely deleted here.

Numerous actions in the customer subscription header allow the user to make changes to multiple Subscriptions Lines at the same time.

The following actions are available:

Next customer subscription The Next customer subscription promotion is part of a promotion group that offers the following promotions:
Next customer subscription: Displays the customer subscription of the next customer, i.e. changes the Customer No. to the next one, i.e. the one whose number is the next higher than the current one.
Previous customer subscription: Displays the customer subscription of the previous customer, i.e. changes the Customer No. to the previous one, i.e. the one whose number is the next lowest to the current one.
Last Customer Subscription: Displays the customer subscription of the last customer, i.e. changes the Customer No. to the last one, i.e. the one with the highest value.
First customer subscription: Displays the customer subscription of the first customer, i.e. changes the Customer No.to the first, i.e. the one with the smallest value. All actions only take into account Customers who actually have at least one Subscriptions.
Reload The Reload action is part of an action group that offers the following actions:
Reload: Reloads the customer subscription based on the Default Settings.
Load Setup: Allows you to load the customer subscription based on an existing customer subscription Setup.
Save Setup: Allows you to Create a New Customer Subscription Setup based on the current Customer Subscription Setup.
Edit Setup: Allows you to Edit the current customer subscription Setup.
Apply changes The Apply Changes action is part of an action group that offers the following actions:
Apply changes: Applies all changes defined in the New Recording Date, New Quantity and Create New Entry fields of the Customer Subscriptions lines across all subscriptions, i.e. writes them back to the respective subscriptions.
Setup batch changes: Provides Recording Date and Quantity fields that can be populated and then applied to all lines in the customer subscription.
Toggle create: Toggles the value of the "Create New Entry" field from Yes to No or from No to Yes.
Record components The action Capture components is part of an action group that offers the following actions:
Enter components: Enables manual entry of components and component changes to the subscription line on which the record pointer is currently positioned.
Commissioned Qty: Enables the manual entry of the commissioned quantity for the subscription line on which the record pointer is currently positioned. Product Versions User Enables the manual entry of Product Versions and Users for the subscription line on which the record pointer is currently positioned.
The actions are only available if the record pointer of a customer subscription is currently on a Line that represents a Subscription Item Line.
Line map Calls up the line card of the subscription line on which the record pointer of the customer subscription is currently located and enables changes to be entered as if the line card were called up from the respective line of the subscription.

The following fields are available in the lines of the customer subscription, some of which are for information only, while others are used to change values. If values in fields can be changed, this is indicated accordingly; all other fields are for information purposes only:

Field Description
Type Indicates the Type of Line.
No. Specifies the number of the Subscriptions or Bundle item.
Description Specifies the description of the subscription line or, in the header lines, the description of the Subscription No. and the subscription itself.
Component Identifyer Specifies the Component Identifyer, i.e. the unique identifier of the subscription line.
Calculation Method Specifies the Calculation Method of the Subscription Item Line.
Belongs to Bundlenr. Indicates the bundle number to which a Subscription Item Line belongs.
Quantity Indicates the subscription or Consumption Qty. currently assigned to the subscription line.
Unit of Measure Code Specifies the Unit of Measure Code of the Subscription Item Line.
New Recording Date This field can be edited. The Recording Date of a new component line for the Current subscription line can be entered here. All changes can be written back to the respective subscriptions across all subscriptions using the Apply changes action. To be able to write back changes, the New Recording Date and New Quantity fields must be filled and the Create New Entry field must be set to Yes.
New Qty. This field is editable. The Quantity of a new component line for the current subscription line can be entered here. All changes can be written back to the respective subscriptions across all subscriptions using the Apply changes action. To be able to write back changes, the New Recording Date and New Quantity fields must be filled and the Create New Entry field must be set to Yes.
Create New Entry This field can be edited if there are values in the New Recording Date and New Qty. fields. Here you can determine whether a new component line should be created for the subscription line. If there are values in the Date and Quantity fields, the Create New Entry field is set to Yes by the application, otherwise it is set to No. All changes can be written back to the respective subscriptions across all subscriptions using the Apply changes action. To be able to write back changes, the New Recording Date and New Quantity fields must be filled and the Create New Entry field must be set to Yes.

Dimensions

If you have stored dimensions for automatic creation in the subscription setup, you no longer need to assign them here, as they are automatically created when the Invoice or Quote is created. The dimension record items are automatically created for each Line. of the document linked to the Subscriptions.

Prices & Discounts

The Prices & Discounts action group has the following promotions:

Action Description
Subscription price lists Display the sales price lists that belong to this subscription or create them.
Subscription prices Display the sales price list lines that belong to this subscription.
Transfer prices to subscription Transfer general prices for the subscription items to subscriber-specific prices, which override the best price calculation of sales prices defined only for this subscription. The subscription prices are added for each existing subscription line. You can repeat the action if you add more lines.

The Documents action group has the following actions:

Action Description
View current invoice Displays the currently created invoice for the subscription. The sales invoice card opens.
Remove current invoice Removes the connection to the current invoice by deleting it.
Service Report View the Service Report based on consumption-based items.
Invoices Displays a list of current invoices for the subscription.
Orders Displays a list of sales orders connected to the subscription.
Credit notes Displays a list of current credit notes for the subscription.
Quotes Displays the subscription quote connections, a list of current quotes for the subscription. These can be quotes that have been created from the subscription, but also quotes from which the subscription has been created.
Purchase orders Displays a list of current purchase orders for the subscription.
Purchase invoices Displays a list of current purchase invoices for the subscription.
Purchase enquiries Displays a list of current purchase enquiries for the subscription.

The list of subscription offer connections allows you to branch to the offer or subscription assigned to the corresponding line via the actions.

The link between Subscriptions and Quotes can be removed again using the Disconnect action.

Component entries Shows the quantity adjustments that have been recorded for the subscription but not yet posted.
Component items Shows the posted quantity adjustments.

Customer LEdger Entries Shows the history of customer transactions posted for the selected subscription. Links to customer items are only available if the subscription has never been invoiced in a collective invoice and if no collective invoice is assigned to it.
Posted transactions View the historical transactions posted for the subscription if the billing method is set to line items.
